“Turn our research into content” leaves the writer to choose the audience, the promise and the next action. A usable handoff makes those choices visible. It also includes the material the writer needs to finish the assignment.
This fictional example is for a consultancy sharing a data-import checklist. It makes no claim about a real customer or Afield’s results.
The source material
Data-import checklist, version 2
1. Consultant prepares the import file and checks the required fields.
2. Client administrator chooses five records to compare with the source.
3. Consultant corrects discrepancies and records the changes.
4. Client administrator accepts the sample before the full import proceeds.
Uploading the file does not count as acceptance.
The brief handed to the writer
| Field | Assignment |
|---|---|
| Reader | A client administrator about to accept a consultant’s data import. |
| Question to answer | What should I check before approving the full import? |
| Article | A short guide with the four checklist steps and a sample review of a missing required field. |
| Offer the checklist to the administrator; ask whether they want the sample-review sheet. | |
| Source | The version 2 checklist above. Do not add automated checking, integrations or time savings. |
| Approval | The consultant checks the process; the account owner confirms the recipient and sends the email. |
| Unresolved point | Who may delegate acceptance? Leave that out until the process owner answers. |
The email this brief produces
Subject: Before you approve the full import
Hi team,
We’ve prepared a short checklist for reviewing a consultant’s data import before the full file is accepted.
It separates “file uploaded” from “sample accepted” and gives the administrator a place to record five source-to-import comparisons. Missing fields go back to the consultant for correction before approval.
Would the sample-review sheet be useful for your next import?
Best,
The implementation team
The message offers an existing checklist, not a product feature. In a real campaign, attach the actual sheet and confirm that it matches this description before sending.
A change that needs more than a wording edit
Suppose the process owner now requires ten records, including one record with a missing optional field. Update the source checklist first. The article’s instructions, email and review sheet must all use the new sample. A writer should not have to reconstruct that decision from comments on three separate drafts.
Save the accepted brief beside those deliverables. In Afield, include the source excerpt with the writing request and name each output you want. Review the article and email separately: they answer different reader questions even though they share the same source.
