“Follow up with these prospects” is not one task. One buyer needs a technical answer, another asked for a later date, and a third declined. Use the latest conversation to decide the action before drafting a sequence.
Choose the branch before choosing a date
| Latest evidence | Next action | What changes the plan |
|---|---|---|
| A specific product question | Answer it, or obtain the missing fact first. | The buyer confirms fit or raises a different requirement. |
| “Contact me in November” | Retain November as the requested timing; prepare a relevant reminder. | A newer reply supplies a different date or instruction. |
| No reply visible after a successful inbox read | Consider one useful addition to the original message. | A reply arrives, delivery fails, or your campaign's stop rule applies. |
| Wrong person, with a named referral | Review the referral and prepare a message explaining the connection. | The new person confirms or redirects ownership. |
| Delivery failed | Repair the contact route before writing another follow-up. | A usable address is established. |
| Refusal or opt-out | Stop this outreach and retain the instruction. | No automatic restart because a new campaign was created. |
| Mailbox could not be read | Restore the connection and inspect the conversation. | A successful read establishes the actual latest message. |

Buyer asks: “What do you need to quote a sample?”
Hi Alex,
Could you send the drawing revision, material and finish requirements, sample quantity and delivery location? Please mark the features you will use to assess fit. We will review the specification and return any manufacturing questions before quoting.
If you require an NDA first, please send your standard version.

Queue: answer now, subject to review. The task is complete when the answer has been reviewed and sent, not when a generic sequence has been created.
Buyer asks: “Please return when we review suppliers in November.”
Hi Robin,
You asked me to return during your November supplier review. Is your team now collecting information from potential machining suppliers?
If so, please let me know the qualification information you need and who should receive it. I can prepare the relevant details for your review.

Queue: hold until the requested period, then re-read the thread before sending. If no exact day was agreed, do not turn a guessed date into a buyer commitment.
Save a plan you can work through
Review these saved outreach records and their available replies.
For each account, produce: latest message and source, response branch,
next action, draft or missing input, review date and stop condition.
Use the buyer's requested timing where available. Keep refusals out of
the outreach queue. Draft only; do not send or schedule.
Use Afield in the original conversation so the plan can reuse the selected accounts and drafts. A compact queue might read: “Account A → technical answer → needs engineering input”; “Account B → return in November → draft ready”; “Account C → declined → stop.” Keep the actual thread accessible behind each entry.
An editable plan is not an active automation. Only mark a message scheduled when the connected workflow actually returns that state. Before enabling supported automated actions, review recipients, timing and how replies, refusals and delivery failures stop later steps. A send with an ambiguous result needs a sent-folder check before retrying.
At review time, count useful replies separately from drafted or delivered messages. Continue, change or stop based on those replies. Read the original email · Review campaign outcomes.
